1. Data Controller

The AIforGhana Complaint Portal is operated as a civic technology initiative. The Data Controller is the government institution or agency deploying this system. For questions about data handling, contact the designated Data Protection Officer.

2. Information We Collect

Voluntarily provided: Name (optional), contact information (optional), complaint description, region/location, evidence files (photos, videos, voice notes).

Automatically collected: GPS coordinates (only with explicit consent), browser type, IP address (for security and rate limiting), and timestamps.

Anonymous submissions: When you choose anonymous mode, no personally identifiable information is stored or linked to your complaint.

3. How We Use Your Data

Your information is used exclusively to:

Process and route your complaint to the appropriate government office; communicate status updates via your preferred channel; generate AI-assisted memos to improve complaint clarity; compile anonymized statistics for public accountability dashboards; and comply with legal obligations.

4. Legal Basis

We process your data based on your explicit consent (provided via the consent checkbox on the complaint form) and for the performance of a public interest task under the Ghana Data Protection Act 2012 (Act 843), Section 17.

5. Data Retention

Complaint records are retained for a minimum of 5 years for accountability and audit purposes. Personal contact information is deleted 12 months after complaint resolution unless required for ongoing legal proceedings.

6. Your Rights

Under the Ghana Data Protection Act 2012, you have the right to: access your personal data; request correction of inaccurate data; request deletion of your data (subject to legal retention requirements); object to data processing; and lodge a complaint with the Ghana Data Protection Commission.

7. Data Security

We employ industry-standard security measures including encryption in transit (TLS 1.3), encryption at rest (AES-256), role-based access control, immutable audit logging, and regular security assessments.

8. Third-Party Sharing

Your data is shared only with the government offices responsible for addressing your complaint. We do not sell or share personal data with private entities. Anonymized aggregate statistics may be published on the public transparency dashboard.
